HoldenMail LLC (“HoldenMail,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use our registered agent, commercial mail receiving agency, virtual mailbox, mail scanning, forwarding, package handling, notary, website, and related services.
This Policy applies to customers, authorized recipients, website visitors, prospective customers, and other individuals whose information we process in connection with our services.

ABOUT THIS PRIVACY POLICY
Personal information means information that identifies, relates to, or can reasonably be linked to an individual. It may include identification information, contact details, account records, mail information, payment records, and online activity.
ARTICLE 2
INFORMATION WE COLLECT
Depending on the services you use, HoldenMail may collect:
Identification and contact information, including your name, residential address, mailing or forwarding address, email address, telephone number, date of birth, government-issued identification, and passport or driver’s-license information.
Business information, including business names, formation documents, ownership information, Employer Identification Numbers, licenses, organizational records, and authorized representative information.
USPS and mailbox information, including USPS Form 1583, identity-verification documents, authorized-recipient information, mailing preferences, forwarding instructions, mail images, package information, tracking records, pickup records, and shipping confirmations.
Account and payment information, including account details, subscription information, invoices, payment history, billing addresses, and transaction records. Payment-card information may be processed directly by Stripe and may not be stored by HoldenMail.
Communications, including emails, customer-service requests, service instructions, account notices, and other communications with HoldenMail.
Website and platform information, including IP address, browser type, device information, login activity, cookies, pages visited, platform activity, and security logs.
ARTICLE 3
COLLECTION OF INFORMATION
We collect information:
—directly from you when you create an account, complete USPS Form 1583, submit identification, request services, provide forwarding instructions, make payments, or contact us;
—automatically when you use our website or Innbocks Customer Platform; and
—from service providers, USPS, commercial carriers, government agencies, business registries, identity-verification services, and publicly available sources where appropriate.
Please keep your account, contact, identification, and forwarding information accurate and current.
ARTICLE 4
HOW WE USE INFORMATION
HoldenMail may use personal information to:
—create and manage customer accounts;
—provide registered agent, CMRA, virtual mailbox, scanning, forwarding, package, notary, and related services;
—verify identity and satisfy USPS Form 1583 and other regulatory requirements;
—receive, scan, store, forward, release, or dispose of mail and packages according to customer instructions;
—process payments, subscriptions, refunds, and invoices;
—send mail-arrival notices, forwarding confirmations, invoices, security alerts, service notices, and customer-support communications;
—operate, secure, troubleshoot, and improve our website, Innbocks platform, and services;
—detect and prevent fraud, identity theft, unauthorized activity, security incidents, and misuse of our services;
—comply with legal obligations and respond to lawful requests; and
—protect HoldenMail, our customers, employees, service providers, and business operations.
HoldenMail may send marketing communications where permitted. You may opt out of marketing emails through the unsubscribe link, but you will continue to receive account, billing, security, and service-related communications.
ARTICLE 5
HOW WE SHARE INFORMATION
HoldenMail does not sell or rent personal information for third-party marketing.
We may share personal information:
—with service providers that help us operate our business and deliver services;
—with USPS, commercial carriers, notaries, identity-verification providers, and other parties necessary to complete customer requests;
—with law enforcement, courts, regulators, or government agencies when required or permitted by law;
—when necessary to investigate fraud, security incidents, unlawful activity, or violations of our service terms;
—to protect the rights, safety, property, or operations of HoldenMail, our customers, employees, or others;
—in connection with a merger, sale, financing, restructuring, or transfer of all or part of our business; and
—with other parties when the customer authorizes or directs us to do so.
Where legally permitted and appropriate, HoldenMail may notify the affected customer before responding to compulsory legal process.
ARTICLE 6
DATA SECURITY
HoldenMail uses administrative, physical, and technical safeguards designed to protect personal information. These measures may include restricted access, password protection, authentication controls, encryption where appropriate, secure cloud storage, security logging, antivirus and firewall protections, and confidentiality requirements for employees and contractors.
Access to personal information is limited to persons and service providers who need it for legitimate business purposes.
No electronic system, transmission method, or storage system is completely secure. HoldenMail therefore cannot guarantee absolute security. If a security incident occurs, HoldenMail will investigate and provide any notices required by law.
ARTICLE 7
DATA RETENTION
HoldenMail retains personal information for as long as reasonably necessary to provide services, maintain business and financial records, comply with USPS and legal requirements, resolve disputes, prevent fraud, and enforce agreements.
Retention periods vary by the type of information. USPS Form 1583, identity-verification, mail-forwarding, payment, and transaction records may be retained for legally required periods. Information may also be retained longer when necessary for litigation, investigations, audits, insurance matters, or other legal obligations.
When information is no longer required, HoldenMail may securely delete, destroy, or anonymize it.
ARTICLE 8
COOKIES AND WEBSITE TECHNOLOGIES
HoldenMail may use cookies and similar technologies to operate its website and Innbocks Customer Platform, keep users signed in, remember preferences, maintain security, understand website performance, and improve services.
You may adjust your browser settings to reject or limit cookies. Some website or platform features may not function properly if cookies are disabled.
HoldenMail may use basic website analytics. The website may not respond to browser-based “Do Not Track” signals unless required by law.
ARTICLE 9
SERVICE PROVIDERS
HoldenMail uses third-party providers to operate and support its services. These currently include:
—Innbocks, for customer mailbox management, mail images, notifications, and forwarding requests;
—Stripe, for payment processing and billing transactions;
—Dropbox Business, for secure document and file storage;
—Google Workspace, for business email, communications, document collaboration, and administrative functions;
—USPS and commercial shipping carriers, for receiving, forwarding, tracking, and delivery of mail and packages; and
—other professional, technology, identity-verification, website, accounting, or support providers necessary to operate HoldenMail.
These providers may access personal information only as necessary to perform services for HoldenMail or as otherwise permitted by law. HoldenMail expects its service providers to use appropriate privacy and security measures, although each provider may also maintain its own privacy policy and service terms.
HoldenMail may update its service providers as business needs change. Material changes may be reflected in an updated version of this Policy.
ARTICLE 10
YOUR PRIVACY RIGHTS AND CHOICES
Depending on applicable law and the nature of your relationship with HoldenMail, you may request to:
—access personal information HoldenMail maintains about you;
—correct inaccurate or outdated information;
—update account, contact, recipient, or forwarding information;
—opt out of non-essential marketing communications; or
—request account closure or deletion of information that HoldenMail is not legally required to retain.
HoldenMail may need to verify your identity before completing a request. Certain requests may be limited by USPS requirements, record-retention obligations, contractual obligations, fraud-prevention needs, litigation holds, or other legal requirements.

ARTICLE 11
CHILDREN AND INTERNATIONAL USERS
HoldenMail’s services are intended for adults and business users. HoldenMail does not knowingly collect personal information directly from children under 13 years of age. A parent or guardian who believes a child has provided information may contact HoldenMail to request review or deletion.
HoldenMail operates in the United States. If you access the services from another country, your information may be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your location.

Changes to This Policy
HoldenMail may update this Privacy Policy to reflect changes in its services, business practices, technology, or legal requirements. The revised Policy will be posted with an updated effective date. HoldenMail may provide additional notice of material changes by email or through the Innbocks customer platform.
